Information We Collect

• Account Info: Provided via Clerk, including your email and profile data.
• Sales Data: We store order details and print logs so you can access them later.
• Print Metadata: Includes printer name, timestamps, stream ID, and your IP address.
• Onboarding Data: Full name, business name, phone number, referral info.
• Sale Screenshots & Item Metadata: When Searchable Item Metadata is on (see below), the extension captures a still frame of the live-stream video at the moment of each sale and uploads it to our servers along with sale details such as the item title, price, platform, and time. We use automated tools, including AI, to describe the item shown (for example, its type, brand, or condition).
• Device Info: May include browser details or user agent in the future.
• Support Conversations: Messages you send to our support chat or assistant, and our replies.
• Contact Form: Name, email, message, and optional marketing opt-in.

How We Use Your Data

• To operate and improve our Services, including print reliability and account features.
• To communicate with you, including service updates or troubleshooting.
• To process transactions securely via Stripe.
• To optionally send marketing messages, if you've opted in.
• To detect fraud or abuse and enforce our Terms of Service.
• To build a searchable record of the items you sell and provide sales reporting to you.
• To create aggregated, de-identified data and market insights (for example, typical selling prices for an item across platforms), as described below.

Searchable Item Metadata

Searchable Item Metadata is the feature that uploads sale screenshots and item details so we can build a searchable catalog of what you sell. It is on by default for accounts created on or after September 2026. Accounts created before then stay off unless you turn it on. You can turn it on or off at any time from your dashboard.

• Turning it off stops future uploads. You can ask us to delete screenshots and item metadata we've already collected by clicking the Questions/Feedback button in the header.
• We don't collect or store the identity of your buyers from these uploads. The extension removes buyer names before uploading, and our AI tools are told not to transcribe usernames or chat.
• We don't use facial recognition or derive biometric identifiers from images.

Aggregated & De-identified Data

We may combine data from many sellers and remove information that identifies you or any buyer, so that it can't reasonably be linked back to a particular person or account. We may use, share, license, or sell this aggregated, de-identified data (including market insights and pricing trends) to third parties for any lawful purpose. We don't attempt to re-identify it, and we require anyone who receives it not to try either. Aggregated data already created from your information can't be withdrawn after you opt out, but it doesn't identify you.

Marketing & Communications

We may occasionally send promotional emails, but only if you've opted in via onboarding or our contact form. You can opt out anytime by contacting us.

Data Sharing

• Authentication: We use Clerk for identity and profile management.
• Payments: Stripe handles all payment processing. We don't store your card details.
• Hosting & Storage: Our services and databases are hosted on Railway. Images such as sale screenshots are stored with Cloudflare.
• AI Processing: We use AI service providers to describe sale screenshots and to power our support assistant. They process data on our behalf.
• Aggregated Data: We may share, license, or sell aggregated, de-identified data as described above. We don't sell data that identifies you.
• Business Transfers: If we're involved in a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction.
• Legal Compliance: We may share data if legally required or to protect our rights.

Data Retention

We retain your data as long as needed to provide the Service, comply with legal requirements, and support features like usage history. You can request deletion of your account and associated data anytime.

Your Rights & Choices

• You can access or update your account info via Clerk's account portal.
• You may request deletion or export of your data by clicking the Questions/Feedback button in the header.
• To stop sale screenshot uploads, turn off Searchable Item Metadata in your dashboard.
• To stop print tracking, uninstall the extension or stop using the service.

California Residents

Under California law, some uses of data derived from your information to create market insights shared with third parties may count as a "sale" or "sharing" of personal information. You can opt out at any time by turning off Searchable Item Metadata in your dashboard, or by clicking the Questions/Feedback button in the header. You may also request access to or deletion of your personal information the same way. We won't discriminate against you for exercising these rights.

Children's Privacy

Our Services are not intended for children under 13. We do not knowingly collect data from minors.

Changes to This Policy

We may update this Privacy Policy periodically. We'll post the latest version at https://www.hot-label.com/legal/privacy and update the effective date above.
